This role requires presence in our Burlington Office Monday-Thursday, regular business hours.

Job Description

Reporting to the Office Manager, the Office Coordinator will be responsible for the day-to-day management and organization of our Burlington office and will be the first point of contact for our employees and visitors. The Office Coordinator will be an energetic, organized and detail-oriented professional who doesn't mind wearing many hats.

How You'll Make an Impact:

  • Welcome employees and visitors to the office: register, safety orientation
  • Answer the main phone line, transfer calls to employees, provide information and answer general inquiries
  • Manage incoming and outgoing correspondence, including e-mails, mail and parcels
  • Manage meeting room schedules, assist with catering orders and setting up/cleaning meeting spaces
  • Monitor and order inventory for the office, restock all kitchen and supplies (coffee machines, etc.)
  • Process invoices, submit new supplier requests and follow up on outstanding invoices
  • Submit work orders and schedule repairs for general office space and equipment
  • Research, plan and organize all social activities and wellness initiatives (office lunches, ad'hoc parties, etc.)
  • Back-up for Montreal Office Coordinator when they are absent
  • Support HR related matters: generic HR inbox, offer of employment, redirect requests to appropriate stakeholders, etc.
Qualifications

What You'll Need to Succeed

  • Post-secondary degree in administration, human resources, communications or related field, or equivalent combination of education and experience.
  • Strong customer service skills
  • Excellent communication and collaboration skills
  • Strong planning and organizational skills
  • Ability to manage multiple priorities
  • Effective use of a wide variety of technologies
  • Reliable and pro-active
  • Detail-oriented
  • Ability to maintain confidentiality
  • The incumbent will be based in our Burlington Office presence 4 days a week, from Monday to Thursday, is mandatory
