THE ROLE
The incumbent will report to the Director of Finance and is responsible for all payroll processing activity for multiple locations (Canada and the US) consisting of hourly and salaried employees including legislative compliance. The Payroll Specialist is also responsible for expense processing, managing insurance policies and renewals, sales tax filing and other regulatory responsibilities as appropriate. Integrity, attention to detail and an energetic but focused approach are all are crucial for this role.
DUTIES & RESPONSIBILITIESPayroll
- Preparation and administration of all aspects of bi-weekly payroll for hourly and salaried employees including timely and accurate payroll submission, legislative compliance, and reporting on all payroll related activity.
- Responsible for all ancillary payroll calculations and filings including WSIB, EHT and benefits funding payments, as well as other deductions including garnishments, taxes and group benefits.
- Ownership of statutory deductions and annual reports for CRA, CNESST, EHT, and WSIB, including reconciliations and issuance of year-end T4's, T4As, and RL-1s.
- Key partner to the People & Culture team in payroll processing and supporting complex payroll issues.
- Generate all required payroll reporting including FTE, overtime and STD reports.
- Proactively verify payroll adjustments proposed by the People and Culture team and provide feedback where needed.
- Dayforce Subject matter expert; build strong relationships with Ceridian to quickly troubleshoot issues, perform special pay runs and other time-sensitive transactions.
- Verify and process employees' bi-weekly expenses as per company policy.
- Responsible for answering employee and manager queries regarding payroll and advice or guiding them whenever required.
- Assist the People & Culture – Business Partners in complex payroll issues.
- Respond to any CRA or equivalent inquiries/audits.
- Other duties and projects as required.
Finance and Reporting
- Prepare payroll journal entries on a timely and accurate basis and formally reconcile payroll-related general ledger accounts.
- Assist Finance with budgeting and forecasting by providing requisite salary reports.
- Monitor and report any trends or fluctuations noticed in payroll like overtime.
- Calculate and book payroll liabilities by calculating employees' income, and source deductions including taxes.
- Process Year End Maintenance after the close of the year prior to Tax Form generation.
- Ownership of calculation, remittance and filing for other regulatory requirements as needed including sales taxes and provincial corporate registration and annual filings.
- Manage and process legal invoices for confidential matters ensuring accurate timely recording and payment.
- Support annual insurance policy renewals by sourcing and providing accurate, complete and timely renewal information.
- Oversight of insurance-related matters, ensuring adherence to regulatory requirements and accuracy in processing.
- Systematic organization of all relevant records and filings.
- Collaboration with the accounting team to facilitate seamless financial procedures and compliance.
Continuous Improvement
- Responsible for implementing any necessary changes to Dayforce with regards to payroll.
- Review current payroll process, recommend, and implement changes to increase efficiencies.
- Works with the People & Culture team to develop/improve Payroll policies and procedures.
- Maintain a thorough working knowledge of payroll systems and keep abreast of legislative and regulatory changes impacting payroll.
Requirements
QUALIFICATIONS
- Post-secondary diploma/degree.
- A minimum of 5-7 years of experience in managing the full payroll cycle for Canada (required) and the US (preferred).
- Payroll Compliance Practitioner Designation (Preferred).
- Knowledge of Canadian federal and provincial payroll legislation, norms and best practices.
- Dayforce experience will be an asset; else experience of any other HRIS tool like Workday or SAP.
- Advanced computer skills; proficient with Microsoft Office Suite (Excel, Word, etc.).
- Demonstrated ownership of responsibilities with a focus on delivering outcomes, while judiciously seeking guidance when necessary.
