POSITION PURPOSE:

Ntirety is looking for a People Operations Coordinator to join our team. The position will be filled by someone that is highly organized, motivated, works independently, and carries themselves in a professional manner. The successful candidate will assist the People Operations team with a wide range of projects related to recruiting, onboarding, HR Information Systems (HRIS), HR initiatives, and processes. The People Operations Coordinator will be mindful of confidentiality and privacy concerns in each interaction, and will provide efficient, polished, and HR administrative support to the People Operations Department and to Ntirety, Inc. employees.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

People Administration:

  • Coordinates and supports various People Operations initiatives and procedures including but not limited to Ntirety's training and certification programs, employee satisfaction surveys, People Operations reports and presentations, and employee engagement events.
  • Supports the full cycle recruitment process, including arranging for the posting of positions, scheduling interviews, providing recruitment analysis, and managing and tracking recruitment activities while working effectively with hiring managers and candidates.
  • Assists with pre-employment processes including completion of paperwork and pre-employment screening, providing updates to the People Operations team on the progress when required.
  • Schedules new employee orientation and on-boarding activities. Ensures all paperwork is complete for new employees and delivered to the appropriate parties ensuring a smooth transition to the company.
  • Provides administrative support to the People Operations Department, including conducting research, preparing reports and spreadsheets for data driven decision making, drafting routine correspondence, setting up meetings and conference calls, and filing and assisting with the implementation of best practices.
  • Ensures employee files are kept current and confidential, organizes and maintains People Operations, Payroll and Benefits filings, in electronic and where needed, in paper copy.
  • Creates and updates People Operations forms, company letter templates, and policy templates.
  • Drafts the monthly People Operations employee newsletter and supports updates to Ntirety's employee-focused social media sites.
  • Provides support in conducting the company's HRIS audit and maintaining the HRIS homepage.
  • Administers and manages HR systems and platforms such as ADP, Workable, WorkTango, Criteria, Infomart and other relevant tools ensuring they are used effectively and efficiently.
  • Supporting performance review processes including coordinating review schedules and maintaining performance records.
  • Act as point of contact for employees regarding HR related inquiries and provide timely and accurate information.
  • Assist with payroll processing to ensure accurate and timely compensation for employees.
  • Provide information for salary surveys to ensure competitive compensation package for technical roles.
  • Creates and provides comprehensive reports and metrics as related to People Operations.
  • Other duties as assigned by the People Operations department.

Recruitment:

  • Conducts phone screens, schedules interviews and reference checks for internal applicants and referrals.
  • Engages in follow up communication with hiring managers and candidates on recruiting status.
  • Works with recruiters on status updates and issues.
  • Tracks recruiting activities and provides candidate status in a weekly report; updates, maintains and produces recruitment metrics reports to analyze time-to-fill and other performance indicators.
  • Manages and maintains requisition requests and records in HRIS.
  • Posts and maintains job ads on local job boards, as needed.
  • Identifies opportunities for improving candidate experience and recruitment efficiency.
  • Focuses on creating a positive employer brand experience – maintaining social media accounts, attending to employer reviews, and promotion internal communications.
  • Assists in the coordination of other recruiting activities as assigned.

DESIRED MINIMUM QUALIFICATIONS:

  • Bachelor's degree in Human Resources, Business/Organization Development, a Technical Discipline, or an equivalent combination of education and experience.
  • 1+ years of recruitment, office administration or/and HR experience in a fast-paced environment
  • 1+ years of experience working within the technology industry.
  • Certification in HR or working towards a certification in HR (e.g. CPHR, SHRM, etc.)
  • Diploma or certificate program in a technical discipline like computer science, engineering, networking, or security.
  • Experience with Office 365, Microsoft Word, PowerPoint, Outlook, and SharePoint
  • Very strong working knowledge of Excel (Macros).
  • Attention to detail, comfort with reporting, and analytical skills.
  • Strong English verbal and written communication skills.
  • Interpersonal savvy and ability to develop strong working relationships with internal and external stakeholders at all levels.
  • Good priority setting, decision quality and informing skills; must be comfortable maintaining and securing confidential information and be familiar with privacy concerns related to human resources.
  • Positive attitude - strong teamwork, and possibility/growth mindset.
  • Desire to foster a welcoming and inclusive employee environment.
  • Ability to work well independently with minimal supervision.
  • Familiarity with social media, especially LinkedIn
  • Understanding of technical terminology and familiarity with IT roles and responsibilities.

PREFERRED SKILLS:

  • Previous working experience in a technical role in an office environment is strongly preferred.
  • Programming experience and knowledge preferred.
  • Experience working with Power BI.
  • Familiarity with labor laws and regulations.
