LaPrairie Crane, one of Canada's largest independently owned crane companies, is looking for a Junior Invoicing Administrator(s) to join their team in Downtown Calgary.

The Junior Invoicing Administrator will facilitate daily invoicing functions through an in-house invoicing program, and the accounting software, Explorer Eclipse.

Successful candidates will, be highly organized and comfortable working independently to meet deadlines and invoicing requirements. Previous, office administration experience, and experience with invoicing is an asset, however, all successful candidates will be provided thorough training upon hire.

Roles and Responsibilities:

  • Ensure Quote accuracy, prior to invoicing (includes checking invoice against approved PO, confirming necessary approvals are in place etc.)
  • Ensure Quote pricing is aligned with each customer's specific agreement / contract pricing (if applicable).
  • Submit invoices to customers via email or upload them to customers through online platforms (Open Invoice, SAP, Ariba, etc.).
  • Stay up to date on customer invoice submission requirements.
  • Complete necessary paperwork (i.e.: stat declarations, WCB clearance letters,
  • Request changes to quotes as required.
  • Provide monthly reports and statistics on various customers.
  • Obtain Quote approvals from Managers.
  • Work with offsite administrative staff to request changes to quotes as needed.

Requirements:

  • 1 year experience with Invoicing, Accounting or Administration required.
  • Successful completion of post-secondary education or training (this may include a degree, diploma or designation).
  • Proficient knowledge in Microsoft Office Suite (Outlook, Word, Teams and Excel).Excellent organization and time-management skills. Must be able to meet reoccurring deadlines.
  • Able to complete daily data entry and invoicing processes in a timely and accurate manner.
  • Comfortable learning new software and skills in a short timeframe.
  • Superior communication skills (both written and verbal).
  • Maturity and discretion when dealing with confidential information and sensitive inquiries.
  • An enthusiastic, positive outlook and willingness to learn.

This is an in-office role in downtown Calgary. Remote working options are not being offered.
