Position Summary: We are seeking a motivated and detail-oriented Project Coordinator to join our construction team. The successful candidate will support a wide range of projects from both an administrative and business perspective, including reviewing drawings and specifications, completing estimates, and working with trades and suppliers. You will work closely with the rest of the team throughout the pre-construction and construction process to deliver the best building and service possible for our clients.

Key Responsibilities:

  • Assist project managers and construction teams with administrative tasks, including document preparation, scheduling, and coordination.
  • Review and analyze drawings and specifications to ensure accuracy and compliance with project requirements.
  • Complete project estimates, including material and labor costs, and assist in the preparation of bid proposals.
  • Coordinate with trades and suppliers to obtain quotes, negotiate pricing, and ensure timely delivery of materials and services.
  • Maintain project files, ensuring all documentation is accurate, up-to-date, and easily accessible.
  • Coordinate project meetings, including scheduling, preparing agendas, and taking meeting minutes.
  • Support the pre-construction process by assisting with bids, proposals, and contract preparation.
  • Monitor project timelines and budgets, providing regular updates to project managers and stakeholders.
  • Facilitate communication between project team members, clients, subcontractors, and vendors.
  • Assist with the preparation and submission of permits, change orders, and other regulatory documents.
  • Track project progress and identify any potential issues or delays, escalating concerns to project managers as needed.
  • Ensure compliance with company policies, industry standards, and regulatory requirements.
  • Provide general administrative support to the construction team, including office organization, data entry, and customer service.

Qualifications:

  • Bachelors degree in construction management, business administration, or a related field preferred; equivalent experience considered.
  • Minimum of 2 years of experience in a project coordination or administrative role within the construction industry.
  • Strong organizational and time management skills, with the ability to manage multiple tasks and priorities simultaneously.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams and clients.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software (e.g., Procore, MS Project, or similar).
  • Detail-oriented with a high level of accuracy in work.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong problem-solving skills and the ability to anticipate project needs.
  • Experience reviewing drawings and specifications, and completing project estimates is a plus.
  • Familiarity with construction trades and suppliers is preferred.
