Lambert Nemec Group, Winnipeg's premier Permanent Recruitment firm, is collaborating with our client to identify a dynamic Executive Assistant. The ideal candidate will provide comprehensive administrative support to ensure the smooth operation of the office. This role requires excellent communication skills, a high level of discretion, and the ability to multitask in a fast-paced environment.
Responsibilities:
- Manage and direct phone calls, and coordinate executive communications, including responding to emails and liaising with client
- Organize and schedule appointments and meetings, managing executives' calendar
- Maintain contact lists and filing systems, ensuring all records and correspondence are up to date
- Produce and distribute correspondence memos, letters, and forms
- Assist in the preparation of regularly scheduled reports and prepare internal and external corporate documents for team members and industry partners
- Order office supplies, and manage inventory
- Provide general support to visitors and act as the point of contact for internal and external clients
- Confidentially handle sensitive information, ensuring compliance with privacy policies and regulations
- Book travel arrangements worldwide and manage expense reports, including arranging travel and accommodation for executives.
- Support the senior management team with various administrative tasks and plan and coordinate work to ensure organizational goals are achieved
- Conduct research and prepare resources to assist executives with daily tasks
- Liaise with other staff members on behalf of senior executives
- Maintain workflow by analyzing and refining standard operating procedures, such as scheduling, communications, and office layout
Requirements:
- Post-secondary education in an Administrative Assistant certificate or diploma program, combined with 5+ years of proven experience as executive assistant or in a similar role.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and ability to prioritize work
- Attention to detail and problem-solving skills
- Strong organizational skills with the ability to multitask
- Strong written and verbal communication skills
- Professionalism and confidentiality
- Ability to work independently and as part of a team
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners
