Position Overview

The Spare Parts Coordinator will play a key role in managing the spare parts order process, interacting with both internal and external customers. This full-time position reports directly to the Operations Manager.

DUTIES AND RESPONSIBILITIES:

  • Interact, respond, and follow up with customers promptly, ensuring courteous and efficient communication
  • Analyze and process incoming quote requests
  • Determine required replacement parts based on customer-provided information
  • Follow up with customers to obtain additional information as needed
  • Provide alternative options for obsolete or custom-made parts
  • Prepare quotations for spare and replacement parts
  • Process customer purchase orders
  • Source parts and prepare purchase orders to meet customer requirements
  • Organize and track all open parts orders for arrival and distribution
  • Provide follow-up and regular ETA updates to customers on their orders
  • Receive incoming parts and stock, checking for accuracy and deficiencies
  • Properly catalog and prepare spare parts for stockrooms according to prearranged systems
  • Determine the most cost-effective shipping solutions
  • Prepare all required shipping documentation
  • Work with Shipper/Receiver to ensure all incoming and outgoing items are catalogued into and relieved from inventory
  • Update and catalog all open purchase orders and orders via spreadsheets
  • Assist Shipper/Receiver with packaging and shipping as required
  • Perform other duties as required

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • High School diploma or equivalent
  • Experience in parts sales, purchasing, and/or shipping
  • Basic knowledge of the crane industry (preferred, but not required)
  • Forklift experience (an asset)
  • Proficiency in Microsoft Word and Excel
  • Some knowledge of QuickBooks (an asset, but not required)
  • Excellent verbal and written communication skills
  • Strong organizational skills and the ability to multitask in a fast-paced environment
  • Outstanding customer service skills

Working Conditions: Working conditions are normal for a manufacturing facility.

  • Normal conditions for a manufacturing facility, with moderate lifting of materials
  • Use of safety equipment such as safety glasses, hearing protectors, and CSA Approved Safety Shoes required
  • Weekday working hours: 8:00 AM – 4:30 PM, with two 15-minute breaks and one 30-minute lunch
