About the Opportunity

United Jewish Appeal of Greater Toronto is looking for an Administrative Assistant to provide a variety of administrative support to the VP, Philanthropy & Campaign Director.

Reporting to the VP, Philanthropy & Campaign Director, the Administrative Assistant will support the Annual Campaign Director in all administrative needs.

Responsibilities:

  • Provide administrative support for the Annual Campaign Director, to include managing the schedule/calendar, scheduling meetings and preparing correspondence
  • Handle administrative issues and inquiries, as appropriate.
  • Communicate with key stakeholders of the Annual Campaign, including donors, volunteers and community agencies and field inquiries as appropriate
  • Provide project coordination for key initiatives of the Annual Campaign
  • Work with Marketing to manage all materials for fundraisers, donors and direct marketing to support Campaign initiatives
  • Participate in the management and coordination of Annual Campaign events
  • Schedule travel and logistics for staff, track expenses and submit reimbursements
  • Generate reports and lists from multi-faceted donor database
  • Provide other administrative support to the Annual Campaign team as required

Skills and Competencies:

  • Bachelor's Degree or equivalent work experience
  • Experience creating systems and general administrative management.
  • Advanced technical skills to support use of Outlook, Microsoft Office Suite
  • Excellent organizational and time management skills – ability to work independently to meet timelines and priorities
  • Ability to work independently as well as in a team
  • Strong organization skills and communication skills
  • Ability to multi-task effectively, handling many responsibilities at the same time
  • Excellent computer software skills (Microsoft Office, Excel, Outlook) and an aptitude to learn new software and database programs
  • Strong analytical capability with excellent attention to detail
  • Enthusiasm, creativity, innovation and the ability to thrive in a fast-paced environment
  • Availability to work some nights and/or weekends
  • Experience in Salesforce (or another CRM) considered an asset, but not required.

* This is a full-time permanent position, Union A. At UJA we support a flexible work schedule and all of our employees engage in hybrid work.
