What you will do:

Job Summary
The Legal Assistant:

  • coordinates and assists with commercial legal matters and regulatory compliance;

  • prepares, drafts and assists with the negotiation and finalization of commercial contracts;

  • assists with Corporate-Commercial Law, Employment & Labour Law, Intellectual Property Law, Litigation, Marketing Law, Privacy Law, Real Estate Law and all other areas of law applicable to the Company;

  • remains up-to-date on applicable laws and best practices;

  • assists with legal research;

  • assists with corporate merger, acquisitions, divestitures, restructuring and other transactions;

  • provides administrative support to Vice President, Legal and other senior members of the Legal Department.

This is a hybrid position (3 days in the office). Office location is 1303 Yonge Street, Toronto.

Key Responsibilities

  • Assist with the preparation, negotiation and finalization of commercial contracts in the various areas in which the Company conducts business;

  • Draft and amend correspondence, contracts and pleadings through general instruction and by using precedents;

  • Assist with drafting and finalizing real estate and construction documents: Letters of Intent; Offers; Leases; Amending Agreements; Estoppel Certificates; Waiver and Extension Letters, CCDC and other construction-related contracts;

  • Track the status of real estate documents; and

  • Maintain a list of all real estate contracts signed during each fiscal quarter.

  • Assist with Labour & Employment Law and Commercial Litigation;

  • Draft contract execution memos, coordinate internal signatures, manage delivery and receipt of fully executed original documents;

  • Assist with the Legal Department's precedent documents.

  • Arrange for service of legal documents and assist with court filings, tribunal filings, regulatory filings, labour board and Ministry of Labour filings, compliance and other matters pertaining to Commercial Law, Privacy Law, Marketing Law and Intellectual Property Law.

  • Manage and respond to enquiries sent to the Legal Department's Privacy telephone line and email inbox;

  • Coordinate and schedule meetings, conferences and other events, including the preparation of agendas, files and background information;

  • Manage and track deadlines, conditional dates and appointments;

  • Assist with Legal Department activities and events;

  • Greet Visitors.

  • Provide primary administrative support for Vice-President, Legal, including:

    • manage travel arrangements and reservations;

    • manage monthly expense reporting;

    • manage calendar/email, coordinate meetings, conference calls, etc.;

  • Provide administrative support for senior members of the Legal Department;

  • Remain up-to-date on applicable law and commercial best practices.

Education & Certification

  • Legal Administration and/or Law Clerk Diploma preferred

Experience

  • 3 years' experience at a law firm or corporate/governmental in-house legal department as a legal assistant is preferred

  • Experience working with the Microsoft Office suite of applications (Outlook, Excel, Word, Powerpoint, OneNote and Teams).

  • Have a strong guest service focus and problem-solving skills, and be discrete and tactful;

  • Be efficient and have excellent oral and written communication skills;

  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams and OneNote);

  • Exceptional organizational skills and ability to prioritize multiple responsibilities;

  • Have superior time management skills and be able to manage conflicting priorities;

  • Bilingualism in both French and English would be considered an asset.
