JOB DESCRIPTION

Reporting to the Facilities Manager, the Facilities Administrator will be a self-starter with a strong work ethic, "Can Do" attitude and the ability to work independently as well as in a team environment.
RESPONSIBILITIES

  • Enter purchase requisitions to ensure site maintenance direct order parts, equipment and services are received in a timely manner or as required.
  • Facilitate and manage post award requirements and expectations as they relate to site direct order parts, equipment, and services. Responsible for receiving direct order parts, machinery and services against approved purchase orders, material expediting, closing out purchase orders, troubleshooting invoice discrepancies and inbound raw material errors.
  • Tracking purchase orders and receipts to completion.
  • Enter information provided by area managers and supervisors into intelex actions for safety and Safe Quality Foods.
  • Generating forecasts for spend timing against approved purchase orders.
  • Enter and ensure material item masters are reviewed regularly and maintained accurately. Assist
  • Maintenance and Stockroom staff in inventory management projects and practices.
  • General administrative support and documentation control as required
  • To maintain a clean, organized, and safe work area. To keep the Manager informed of daily issues relating to the efficient operation of purchasing. To attend and participate in
    meetings, training and continuing education programs internally or externally as deemed appropriate by management.
  • Maintain filing both electronic and manual
    Ensure all required training as directed by the system is up to date and on time for facilities team

QUALIFICATIONS

  • Two to five years of relevant experience
  • Administration Diploma or other Postsecondary degree in a relevant discipline or equivalent experience
  • Experience in purchasing or procurement is considered an asset Excellent communication skill
  • Strong time management and organizational skills
  • Comprehensive knowledge of MS Office (Outlook, Word, Excel), and MS Project
  • Discretion and ability to organize and prioritize multiple tasks under tight deadlines
