JOB DESCRIPTION
The HR & LR Associate collaborates with the HR Business Partners to support the effective implementation of HR policies, procedures, and programs. The HR & LR Associate is ensuring the HR Information System has accurate and timely people data. They collect, update, report on, analyze and interpret people data to inform HR strategy discussions with business unit leaders. They support employees and managers by responding to HR inquiries and support the Manager of HR and the centers of excellence in implementing talent management programs and improving HR processes and practices.
RESPONSIBILITIES

  • Facilitates proper employee documentation and records in HR systems, including writing employment documents, maintaining reports and data sources, compiling reports, and researching information as needed.
  • Reviews HR Information System data to ensure 100% data integrity; searches for trends in complex HR data and identifies root causes of data integrity issues then develops processes and work instructions to ensure they are corrected.
  • Administers, implements, reinforces, and suggests modifications to HR policies, programs, and procedures. Audits HR policies, programs, and procedures against relevant legislation and best practices and recommends improvements.
  • Provides first level information to employees and managers on HR policies, programs, and procedures. Resolves HR inquiries or escalates to the appropriate individual for further advice depending on severity.
  • Assists the HR Managers and HRBPs in the preparation and delivery of HR and HR technology related training material, leadership development programs, and other talent management strategic initiatives.
  • Supports the HRBPs and HR Manager in implementing talent management programs (e.g. attendance and performance management, succession planning, diversity and inclusion) and special projects.
  • Assists in the delivery of the Employee Engagement program, including promoting the survey to achieve maximum participation, preparing and analyzing data, creating presentations to the business and assisting in the scheduling and facilitating Employee Experience or Action Planning teams.
  • Supports the HR and Management teams in ensuring alignment of organizational structure. Assists leaders with developing consistent & accurate job descriptions, works with HRBP to ensure job is evaluated fairly and according to process, gathers data for cross organizational alignment reviews, and works with business to ensure organizational charts are updated and accurate.
  • Facilitates pre hire onboarding, new hire orientation, post hire onboarding and offboarding, including managing logistics with appropriate teams (e.g. IT, HR shared services), ensuring new hire paperwork is submitted in a timely and complete manner, coordinating new hire orientation activities, assisting with exit interviews if required, ensuring knowledge transfers are completed, and other related duties.
  • Supports the safe and effective return to work process. Reviews accommodation candidates against current openings to help facilitate accommodation matches and works with HSWE, Manager, HRBP and Employees to facilitate safe and effective returns to work.
  • Track and process all leave requests. Collect and manage medical documentation related to absences and disability. Address and resolve general questions regarding attendance. Process and approve requests for emergency vacation days Respond to and manage voicemails related to attendance issues.
  • Schedule meetings and run reports. Host and prepare data for meetings. Conduct and document probationary reviews. Organize and send out materials for new hire orientation. Prepare and distribute reports for production leaders and among the business. Compile and report on labour relations statistics, including attendance, discipline, suspensions and grievances.

QUALIFICATIONS

  • 2+ years' experience in Human Resources
  • Knowledge of ethical practices in Labor Relations and understanding of legal implications for various labor-related decisions
  • Experience working with HR information systems
  • Bachelor's degree (or equivalent) in Human Resources, Business Management, Sociology, or related field
