Description of Duties

Luther College (Luther College University of Regina and Luther College High School Regina, SK ) invites applications for a full-time permanent position in the role of Administrative Services Clerk. Primarily based at the University campus and reporting to the Manager of Financial & Residence Services, the Administrative Services Clerk is responsible for front office reception, being the first point of contact for the public and employees, clerical duties, as well as assisting the financial services administration for both the Luther College University campus and the Luther College High School campus. In addition, this role contributes to maintaining a vibrant and inclusive community atmosphere for our campus residents. Primary duties include but are not limited to: overseeing general inquires, billing and collection of student tuition and fees, billing and collection of student residence/boarding fees, processing of cafeteria revenue, and the collection of school activity and other miscellaneous fees. The Financial Services Clerk will also be responsible for other general accounting functions.

Responsibilities

  • Student Billing and Receivables – High School

Student billing and receivables through the ongoing management and administration of this function by:

  • Maintaining all student accounts using the financial edge accounting software.
  • Recording charges and receipting payments.
  • Collecting accounts and maintaining regular communication with students and families.
  • Ensuring the necessary policies and control procedures are in place.
  • Tracking and maintaining bus and meal plan spreadsheets and payments.
  • Tracking and communicating all extracurricular charges and payments with parents and teachers in an accurate and timely manner.
  • Maintaining up to date student information, email and communication with parents and staff.
  • General administrative assistance with the residence program including processing Interac and credit card payments, following up on required payments and updating the appropriate systems.
  • Coordinating and tracking University of Regina meal plans.
  • Taking tuition payments for Luther registered students.
  • Provides reception and assistance to the Financial and Residence Services Office in person, by e‐mail, and by phone with a high level of customer service.
  • Performs general office duties including sorting mail, purchasing office supplies, and arranging for couriers.
  • Residence Student Support
  • Support students by offering assistance and providing information for campus resources as necessary.
  • Respond to prospective residence students, current students, and public inquires efficiently.
  • Assist the Residence Services Coordinator and housekeeping with Residence move-ins and move-outs, as required throughout the year.
  • Assist the Residence Services Coordinator and housekeeping with short term stays, as required throughout the year.
  • Other Related Responsibilities
    • Reconciling operations such as the operating fund bank accounts, tuition payment only account, processing student PAP's, and applicable miscellaneous transactions and accounts.
    • Receiving payments from third parties for goods or services provided to them by the College (other receivables).
    • Performing general ledger maintenance as required.
    • Preparing journal entries to distribute expenses and to record adjustments as needed and following account reconciliations.
    • Assist with yearend processes, as needed.
    • Other related responsibilities as required.

Qualifications

  • Completion of an administrative, office education or bookkeeping program recognized by a technical school.
  • Two years related experience, or an equivalent combination of education and experience.
  • Experience working in a school environment would be considered an asset.
  • Demonstrated competence with Microsoft Office applications (Word, Excel, PowerPoint); knowledge of the specialized software (Blackbaud, Banner) used by Luther College would be an asset.
  • The ability to prioritize tasks effectively, maintain focus amidst distractions, and adapt to changes in workflow seamlessly.
  • The ability to work quickly and accurately with large amounts of information or payments.
  • Strong attention to detail and ability to handle multiple tasks.
  • Strong oral and written communication skills.
  • Sound interpersonal skills.
  • Affinity with the goals of Luther College and the small college environment in which flexibility, warmth, and cordiality are necessary and valued.
  • A willingness to work in an office setting where collaboration among staff, at times beyond the job description, is necessary and valued.

Confidentiality

  • The incumbent routinely works with confidential information related to the College's business operation which includes financial aid information, and personal information of staff, faculty and students. This information must be kept strictly confidential, and the incumbent must comply with all requirements of The Freedom of Information and Protection of Privacy Act .

Association

  • Is a member of the Financial & Residence Services Office team.
  • Is routinely in contact with students and parents.
  • May have contact with conference groups and guests.
  • Maintains working relationships with all operational areas of the College including all administration, faculty, and staff.

Working Conditions

  • This is a full-time position with hours of work normally totaling 35 hours per week (8:30 am to 4:30 pm); however, from time-to-time there can be College events, special projects or emergencies that will result in irregular or extended hours on evenings or weekends.

Salary Range

The starting salary range for this position is $54,442 - $59,202 annually.
