The role offers the flexibility to start out as part-time with potential to transition to full-time.This role will directly support the day-to-day operations of our practice, assisting Dr. Rae-Seebach with a variety of administrative tasks to enable her to focus more effectively on her professional responsibilities. You will also handle the scheduling of therapy and consultation appointments through the Child-Psychologist-Vancouver.ca and EndingWell.ca websites.More specifically, your responsibilities include but are not limited to:Managing office operations and administrative systemsBooking and organizing travel arrangementsHandling calendar management for our practitionersMonitoring and ordering test inventory as neededSetting up and managing technology and software tools, including our booking system (Jane App)Filtering enquiry emails and calls, and booking initial assessmentsMaintaining patient confidentiality and handling sensitive informationPreparing and sending out educational and informational newslettersSupporting the setup of a business phone system to manage callsAssisting with light marketing tasks, such as managing email and calendar listsAbout YouTo qualify, you will need experience as an Executive Assistant, Clinic Manager, or Office Manager. A minimum of 3 to 5+ years in a healthcare or clinical setting within greater Vancouver is also essential. Familiarity with administrative software, particularly the Jane App booking system, is required.The following skills are mandatory to the role:Proficiency in Google Suites of apps (Calendar, Gmail, Google Drive)Proficiency with Microsoft Office, including Word, Excel, and PowerPointWorking knowledge of Mailchimp, Mailerlite, or other similar newsletters software.Capability to handle multiple calendars and booking systemsUse of Jane App booking systemThe following skills are will be highly valued:Understanding of encrypted email services like HushmailGood aptitude towards using technology and software to improve productivityKnowledge of basic website maintenanceKnowledge of setting up automated email workflowsAs our ideal candidate, you will possess traits that are vital for success in this role, including exceptional organizational skills and a proactive mindset geared towards careful planning.
