Responsibilities

PRIMARY PURPOSE
The Executive Assistant, Chief Officer provides confidential administrative support to the Chief Officer by managing agendas, events and a variety of sensitive, confidential, and complex correspondence. Participates in the development of annual budgets, monitors expenditures and provides variance reports. Coordinates resolution of issues brought to attention by public & external stakeholders, delegating them to appropriate divisions, or subsidiaries for action and ensures appropriate follow-ups. Provides oversight to administrative support staff involved in the delivery of a wide range of administrative and office services within Transit Police.

KEY ACCOUNTABILITIES

  1. Provides confidential administrative support to Chief by managing a variety of sensitive, confidential, and complex correspondence, memos, presentation materials and reports. Provides input during various policing committees meetings such as BC Chiefs of Police, BC Municipal Chiefs, Special Olympics and other national/provincial sub-committees. Records meeting minutes and provides input if required / assigned.
  2. Coordinates calendar and agendas for the Chief Officer; organizing meetings with elected officials, Board of Directors, and key stakeholders. Receives incoming requests for appointments from senior management across TransLink enterprise, elected officials and public; responds to routine requests referring to Transit Police and outside policing agencies or representatives. Coordinates travel arrangement to business events for the Chief Officer as required.
  3. Develops and monitors budget for the Office of Chief Officer which includes development and implementation of annual budget, allocating resources to cost centers, monitoring and approving expenditures, identifying potential problems and recommending corrective action. Reviews and reconciles actual expenditures, provides monthly reports including any variances. Approves invoices for payment within defined authority levels and follows up on pending payments. Assesses and provides recommendations regarding vendors/suppliers of administrative supplies and products.
  4. Assists with overall event planning for the Office of the Chief Officer, including developing and relaying agendas, venue layout, organizing catering services and distributing reference material before and / or after the event, ensuring all information is reviewed for accuracy and confidentiality.
  5. Coordinates resolution of issues brought to attention by public & external stakeholders; identifies and resolves issues or concerns of confidential and sensitive nature; delegates to the required departments and follows up with to provide adequate closure of issues. Updates Chief Officer of issues and escalates / alerts, if resolution is required at Executive level.
  6. Provides oversight to administrative support staff within Transit Police. Participates in selection and training of administrative staff as required. Leads development and implementation of standardized processes and procedures for these administrative staff. Participates in projects pertaining to improvement and implementation of new administrative procedures, office equipment, systems and technology.
  7. Liaises with Manager, Facilities regarding various property management issues that have been escalated and reported by staff and provide adequate support and closure to the issues. Update the Chief Officer where required.

Qualifications

Education and Experience:
The competencies for this position can be acquired through successful completion of Grade twelve (12) with a Diploma in Business Administration or related area of study plus three (3) years prior progressive administrative experience including supervision, in a client service-oriented environment requiring a high degree of confidentiality, preferably within a police agency. Training or working knowledge of critical incident writing will be required.

  2. Strong verbal and written communication skills.
  3. Strong organizational skills to coordinate multiple tasks and projects.
  4. Strong numeracy skills and experience in applying basic accounting functions.
  5. Proficiency on all office software, including word processing, spreadsheet, and presentation software and web-based HRIS systems.
  6. Familiarity with Transit Police's corporate structure and political environment.
  7. Familiarity with accounting principles to assist in expense monitoring, budgeting and reporting.

Other Information

Recruitment Process: An applicant will be required to demonstrate their suitability for this position by meeting the minimum level of qualifications and experience in order to be invited into the selection process. A standard interview format will be used including general, scenario and behavioural descriptive interview questions.

Work Schedule

37.5 hours per week.

Work Designation

Hybrid. This position offers the flexibility of working both on-site and from home.

Conditions of Employment
