Position Overview
We are seeking an organized and proactive Administrative Assistant to support our project managers and office operations. This role serves as the central coordinator for administrative tasks, ensuring smooth project execution from the initial design phase to completion. The ideal candidate is a self-starter with strong communication and organizational skills, capable of managing multiple tasks efficiently in a fast-paced environment.

Pay range is $55,000.00-$60,000.00 annually.
Key Responsibilities
Provide administrative support to project managers in line with company policies and long-term goals
Serve as the main point of contact for office administration needs
Greet clients and vendors professionally upon arrival
Schedule meeting rooms, vehicle usage, and special events
Assist project managers with bid packages, spreadsheets, reports, letters, and other documents
Issue bid packages to vendors and maintain a status log of bid-related communications.
Verify and update bidder lists with input from engineers
Maintain project drawing lists and track Request for Information (RFI) logs as needed.
Assist with proposal preparation, formatting, and distribution.
Print, scan, and plot drawings as required
Create transmittals for drawings, bid packages, proposals, and other project documents.
Compile bid comparisons for project managers' review
Support project execution by handling scheduling, coordination, and other administrative tasks
Order and manage office supplies for the division
Qualifications
Minimum 2+ years of administrative support experience, OR Specialized coursework or certification in Office Administration, OR Associate's or Bachelor's degree in Business or Office Administration, Associate's or Bachelor's degree in Business or Office Administration
Experience in an engineering, architectural, or professional services firm is a huge plus
Skills & Requirements
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational skills with keen attention to detail.
Ability to work independently and ensure accuracy in work.
Excellent written and verbal communication skills
Team-oriented with a positive and professional attitude
Ability to manage multiple tasks efficiently in a fast-paced environment.
