Your opportunity: The Continuing Professional Development (CPD) unit in the Faculty of Medicine is one of the world's largest providers of continuing education and professional development programming for physicians and other health professionals. CPD facilitates and supports the development of a full range of specialized medical education programs. Working with program directors and conference chairs from across the Faculty of Medicine, CPD accredits close to 400 programs and conferences per year that attract over 45,000 learners from across Canada and internationally. As Speaker and Exhibitor Liaison, you will provide key support to CPD Conference Management Services by contributing to the productivity and overall success of our highly collaborative team. Your strong communication and organizational skills will be essential in liaising with high-profile speakers, sponsors and exhibitors in a responsive, tactful and professional manner and maintaining firm accreditation standards. Your keen attention to detail will enable you to monitor and track large volumes of information and data in a fast-paced environment.

Your responsibilities will include:

  • Acting as the primary point of contact for a high volume of inquiries from sponsors, speakers and exhibitors
  • Maintaining compliance with accreditation standards and administering documentation in accordance with the National Standard on Sponsorship of Accredited CPD Programs
  • Personalizing and distributing speaker confirmations and distributing information packages to speakers and sponsors
  • Collecting and logging receipt of documentation (conflict of interest disclosure forms, biographies, credentials, honorarium payments, sponsorship agreements)
  • Assisting speakers with completion of forms and ensuring speakers adhere to supporting documentation requirements
  • Conducting initial reviews of expense reimbursements for completeness, accuracy and policy compliance
  • Assisting with conference logistics, name badge production, staffing registration desks, packing and shipping, preparing onsite delegate materials, ordering supplies and arranging for delivery to program sites
  • Acting as the primary backup to the CPD Client Services Representative

Essential Qualifications:

  • College Diploma (2 years) in business administration or communications, or an equivalent combination of education and experience
  • Minimum two (2) years of related experience in a client services role
  • Experience serving as the first point of contact and managing workload with multiple competing priorities
  • Demonstrated experience supporting accreditation processes and ensuring compliance with standards
  • Experience implementing quality assurance processes for electronic document collection and storage
  • Experience collecting, reviewing and vetting conflict of interest disclosures
  • Experience working in academics and senior stakeholders in a high pressure, high volume production environment
  • Experience supporting event planning and drafting communications, editing and proofreading
  • Experience working with online registration systems and databases and manipulating data
  • High level of proficiency in MS Office Suite, online registration systems and WordPress
  • Excellent communication skills, including verbal and written
  • Highly developed interpersonal skills
  • Strong customer service orientation and a professional, polished and friendly demeanor
  • Experience in high-stakes environments where consequence of error in work can jeopardize accreditation status with external governing bodies
  • Demonstrated strong organizational skills
  • Exceptional attention to detail and accuracy
  • Experience dealing with confidential information
