We have a current opening for a Lease Administrator. Reporting to Senior Vice-President, Leasing, the Lease Administrator is responsible for the day-to-day administration of leases, agreements, supporting documents, and other information within the organization.

Responsibilities:

  • Accurately enter data into property software (Yardi) including: leases, renewals, sublets, options, assignments, amendments, terminations, settlement agreements, parking agreements, storage agreements, expirations, etc.
  • Monitor the flow and status of negotiations including parameters such as conditions, obligations, possessions, offer/lease stage, and contract execution dates.
  • Track and maintain all lease expirations option exercise dates and other critical information assigned in commercial leases.
  • Ensure the documentation and procedures required for tenant move-ins or move-outs are carried out, including inspection reports and security deposit.
  • Prepare reports detailing lease portfolio performance, including occupancy rates and vacancies
  • Assist in ensuring documentation is in sync with landlord's property software (Yardi)
  • Ensure area certificates completed as required
  • Communicate all leasing documents and other critical information assigned in commercial leases, to all relevant departments in the organization.
  • Ensure each lease file contains a signed original lease, lease checklist, and ensure other details are correct and complete.
  • Ensure all required items including lease documents, insurance, deposits, contact information, and other critical information are delivered by tenants on new lease transactions prior to occupancy; follow up with Property Management Team and Accounting on Tenant electrical requirements (i.e., meter transfers/terminations) as per Lease.
  • Ensure physical and electronic documents are stored and kept up to date, as per the Company's records management policy.
  • Take and distribute meeting minutes.
  • Other ad hoc duties to assist Leasing department

Requirements:

  • Post-secondary education in a relevant field (e.g., Legal Administration, Business Administration, etc.).
  • Previous experience as a Lease Administrator (ideally in commercial real estate) is a strong asset, but willing to train motivated individuals with a strong administrative background.
  • Knowledge of Yardi is strongly preferred.
  • Superior attention to detail; and high level of accuracy.
  • Working knowledge of commercial leasing terms, standard clauses and applicable leasing concept is preferred.
  • Ability to work under pressure and juggle multiple priorities; meeting required deadlines.
  • Ability to adapt to changes quickly in a fast-paced environment.
  • Strong proficiency with Microsoft Office Suite (e.g., Excel, Word, Outlook, etc.), PDF's, and other related software.
  • Demonstrated ability to effectively communicate to different audiences.
